Minutes of a Meeting on 12 September 2002 at The Comrades Club

Present: Stuart Bond (SB), Harry Foren, Shirley Brown (ShB), Ali Leggatt, Jean Morgan, Jeff Sharples, Will Morton, Patrick Hull, Brenda Hennessy and Gordon Allgood

Apologies: Nina Collier, Lynda Heseltine, Nicola Rule, Alan Hooker, Richard Morton, Stephen Spencer and Win Binnes.

Previous Minutes
Accepted as a true record with the additional comment that agreement was given to the retention of monies from Bridge magazine etc until year end when financial position would be known.

Actions from previous minutes not dealt with later, were reviewed:
SB is compiling the updated mailing for chairs of local groups in order to send invitation for improved participation in Gala Week in 2003.

SB is awaiting feedback from Sealed Knot regarding availability and price for participation on Saturday 5 July 2003

Picnic in the Park. SB had written to Town Council to offer thanks for funding. AH had provided details of expenditure for 2002 and proposal for funds sought for 2003. Town Council had not yet discussed the proposal.

SB had written to Senior Citizens and Norwich Union to thank for their contributions

SB had met with SS to discuss a flyer to be sent to local businesses. NC had kindly agreed to take on the role of meeting with appropriate businesses with the Town Mayor / Deputy Mayor to discuss the CA activities with the objective of increasing participation and support within the community as a whole.
SB to provide text to SS.
NC and SS to discuss further and to ensure RGE included in the listing.

Outstanding items:
Junior Disco – ShB advised that The Community School had confirmed the offer to seek only the costs to be covered provided the funds raised were for charity support. Discussion required to develop idea for 2003. AL, ShB, JM, GL,CO, FC requested to consider

Clown for 2003 – Mary Stokes is requested to confirm booking for next year.

Photographs – ShB noted she had available some photographs to loan to SB for scanning and web site.

Fireworks – 5 November
The discussion took place in the absence of AH and any additional necessary actions will be discussed in October.

Insurance – NR had confirmed to SB by e-mail that insurance was in place for this event under our normal policy provisions.

Town Council: HF will contact the Town Office regarding the event, Judith's Field etc

All to note – Event is Tuesday 5 November, volunteers required both in the evening but also daytime if possible.

Prices – SB to check with AH that pricing is as per 2001 viz: £3 adult, £2 child on the night or £1 in advance. (DONE)
Both schools will sell tickets.
(Cash Float – post meeting note by SB – was this adequate for change last year? If not ensure we agree on the sum needed with AH).

Chemiluminescent necklaces – BH noted their popularity. SB to check with AH (Done 200 ordered)

Timetable – It was agreed that the timing last year was much better for the children and this would be retained in 2002 as:
Gate preparation 6pm
Gates open to public 6:30pm
Guys judged & onto fire 7pm
Fire lit 7:15pm
Fireworks commence 7:30pm

Flyers / Adverts: As soon as the prices are confirmed, the flyer and A4/3 notices can be prepared by ShB. The obverse of the flyer will list the AGM date etc.
This needs confirmation AH advise if w/c 17 February 2003 is feasible to SB.
HF to check QE School / Kevin & Kate available. Text to be provided to ShB asap.

Pyrotechnics Team: It was understood that the team was in place. AH to confirm

Gates - AL, BH, PH, and JM confirmed potential availability for manning gates. SB hoped to be available but couldn't be certain. Other volunteers asked to confirm availability

Lighting - Required on front gate (via extension lead) and on generator on back gate.
SB to check with AH (Confirmed)

Bonfire - It was hoped Charles Looker et al could arrange as previously. SB to ask CL

Guy Fawkes - Both schools would enter Guys (JM and ShB) and expectation was judging PM on 5 November.
Ann Looker to be asked to undertake judging SB to request

Mulled Wine - Dr Becker will be contacted regarding this once again. PH

Concessions – It was assumed that AH had this in hand as usual with the fair and food. AH?

Clear up - Whilst the earlier start helped clearing, it was necessary to return in day light. BH and JM could be available afternoon of 6 November. Anyone else?

Picnic-in-the-Park

PH advised that the groups for 2003 had been contacted and all was in-hand. Thus far no reply from the Town Council, but SB noted the absence of Beryl Moore (Finance WP) so this item could not be discussed.
PH to contact Town Council regarding funding

“Plumbing” - offer had been made that if Town Council agree to funding the event plus the additional cost for temporary toilets then the CA would fund installation of required T-piece in drain and water supply point (Cost £100).

Jeff and Elaine Sharples: Jeff noted that they were soon to move to West Wales to undertake a restoration project and set up home in a quieter location. Jeff expressed his thanks to the group and the fun he has had from participation over the years. Our thanks for your contribution to the town and very best wishes to you both in your new life “out west”.

“Hardcopy” Minutes – Hardcopies to be provided to HF asap on production of Minutes
BT to ensure

Bunting JS noted that the main bunting lengths used along The Causeway was life expired and required replacing (some 300yds). It was believed that now “spare” material exists (SB has since checked and only likely location would be AH).
AH confirm if any spare exists otherwise need to consider cost for purchase ready for 2003.

JS also believed that his friend who has helped previously in setting up and removing bunting would be willing to continue but requires assistance. (SB has since discussed and this seems likely).

Father Christmas – HF noted that after many years of providing the Town with the traditional character for the schools and the play groups, he had regrettably had to retire. Harry was thanked for his contribution in this respect. The good news is that Pat Doherty has volunteered, and will need to submit application for the necessary checks to the authorities.
AGREED to Pay the £10 fee on behalf of Pat for this community role. AH to note
HF to advise on how local groups can contact Pat to make arrangements for 2002 events.
