Minutes of a meeting on 10 October 2002 at the Comrades Club

Fireworks
Insurance: This will cost an extra £525 above our annual insurnace due to changes in the insurance industry in the UK provision of cover for these events. The insurance company will not give a quote until the month before the event. We need to carry the deficit over to next year, as the fireworks need to be ordered in August/September. AH will get insurance arranged.

Copies of the insurance for the commercial entertainments and food retailers would be obtained by AH.

It was decided that the programme should have an advertisement for the AGM on the facing page. SB to supply text to ShB.

Parking: There has been some difficulty in getting cones to cordon off London Road, but the police have said they will deal with parking. SB to check with HF the week before. JM said she could get some cones from St Anne’s if necessary. SB agreed to contact NR about advising Nokia regarding likely public use of their parking facilities.

Fire Brigade: has been contacted by SB to advise on the event and timings

There is to be a licensed bar. Keith Gabb will stock this as discussed with GA. AH to check with the district council about whether we need an entertainment license.

All the units are booked. AH will provide the cash floats (triple previous amount). Chemi-luminescent necklaces are available and will sell for £2 each (BH). FC is to arrange for the two princesses to attend.

Lighting: There will be a generator at the back gate and electricity at the front. Lighting is also to be arranged for the Judith field building to make it look attractive. Mulled wine and the necklaces will be on sale by the pavilion. The fair is providing the food and giving a donation. It was also agreed to get a CD player to provide background music to max value £120.
AH to ensure spare halogen bulb is available on front gate.

Safety: SB will speak to NR about distances related to fireworks. We have more room this year. Charles Looker and AH will do the physical lay-out, plus fire (AH has wood available). Ann Looker has agreed to open the event. SB will check to see if she will judge the guys. HF will accompany her.

AH will organise the fireworks team to prepare and let off the fireworks.

RM will check on loan of two more radios

Stewards: We need one steward to 100 people. We have 15 steward waistcoats, which will be allocated to the following people (# = radio). (Fireworks team 4off radios)
Mary and David Stokes, Geoff Larcombe, Mike Westcott-Rudd, Stuart Bond#, Brenda and Bill Henessy, Alan Hooker, Fred Carter, Harry Foren, Nina Collier, Jean Morgan, Dr Becker#, Kevin Robinson, Patrick Hull, Nicola Rule# and Ali Leggett.

It was decided provisionally that:
Kevin Robinson, Nicola Rule and Harry Foren should man the front gate.
Nina Collier, Jean Morgan and Geoff Larcombe should man the back gate.
Stuart Bond would be on London Road to assist crowd flow.
Brenda and Bill Hennessy would be selling necklaces.

ALL are requested to confirm availability as above – if not listed you are not forgotten and you are needed on the night!

Dr Becker is being requested to be responsible for first aid. PH is going to check up on this. First aid and also toilets, will be available in the building. Any children who are lost should also be sent to the building.

PA system will be set up to let people know what is going on (AH). Patrick Hull will once more be in full song on the night!

Instructions. At the beginning instructions will be given to stewards relating to car parking, safety, first aid etc. SB will send emails to the relevant people. There are radio mikes available which AH will organise on the night as above.

It was decided that a list of mobile phone numbers should be circulated to ensure adequate communication. Stewards are asked to bring their own torches.

Cleaning up It was requested that as many people as possible stay after the fireworks to do some clearing up (expect to finish around 2100). People are also needed on Wednesday to finish off. Please turn up if you possibly can. SS to check water availability for buckets.

AOB

Picnic in the park. It has been suggested that we have extra toilets erected for Gala Day and Picnic in the Park for which we need council approval of the budget. We need to know about this and other things before November. SS said he would ring Beryl Moore and a letter would also be written to highlight need for decision. SB will write to Anne Looker (done).

SB has been in contact with ‘Sealed Knot’ and they are able to come. SB proposed we should get a formal quote expected to be £350+VAT with details of the proposed activities (AGREED). Kick boxing is also booked. SB will phone affiliated groups for Gala Week following the recent mail out (share with CO) after Fireworks.

AH said he has some bunting.

Skate Boarding This has been re-arranged for October 26th at 2pm. This will be held at the skate board park and it is hoped that it will be a sponsored event.

Father Christmas: Pat Dogherty has agreed to be Father Christmas. HF is going to speak to him about it.
