GODMANCHESTER COMMUNITY ASSOCIATION

Minutes of the meeting held on Thursday 8th August 2002 at The Comrades Club

PRESENT

Harry Foren, Stuart Bond, Charlotte Oldwood, Gordon Allgood, Fred Carter, William Morton, Alan Hooker, Jean Morgan, Linda Hesaltine, Geoff Larcombe, Stephen Spencer, Win Binns, Bonnie Thomas

ITEMS ARRISING FROM THE LAST MINUTES

Bowls
CHARGING IN ADVANCE- Linda thought it could be a good idea to send a letter out with the affiliated groups information inviting people to enter a team. Other ideas were:

  • Borrow the green from the bowls club and run it ourselves
  • Have an open session before the tournament
  • Round Robin

Linda to speak to the bowls committee to see what they think. It was felt that the organisation needed new blood, possibly an assistant for Linda. It was decided to bring it up at the AGM and ask for volunteers. LH

Bonnie to send list to Stuart BT

Help for Alan
Charlotte was volunteered to assist Alan on organising arena events and stalls next year. Alan and Charlotte are to get together and discuss exactly what is needed AH & CO

Multi Activities
It was felt that multi activities, such as having the sea cadets in the river and an event in the arena, worked well and we should try to do the same next year

Children
It was felt that children’s activities which required involvement were a good idea for gala day as they worked well this year. Physical activities are good, Will suggested having a race track, and has other ideas which he is to discuss with Charlotte WM & CO

Playgroups
In the past teddy bears picnics have always worked well. An area could be set up especially for the children and co-ordinated with the playgroups. Geoff is to talk to the Playgroups and get back to Charlotte GL & CO

Junior Disco
The Comrades Club do a family event on Sundays, it was wondered if something like that could be a part of Gala week, with the Children’s groups organizing it? Fred is to discuss the idea of the Comrades as a venue with the Comrades Committee. Shirley is to look into the possibility of the school as a venue. Geoff, Charlotte and Jean volunteered to talk to all the children’s groups to see if they are interested FC, ShB, GL, CO, JM

Sports
Stuart is to contact the sports groups and HYT SB
If Picnic in the park goes ahead the staging would be good for dancers, Alan is to contact Ros Clarke AH

Sealed Knot
Stuart has spoken to Sealed Knot, but not heard back yet. They could participate in the carnival as well as an arena event. They won’t know if they are available until early spring so we will need a fall back position. Stuart is to get in contact about costs etc. SB
Sealed knot did request that they have an area in the trees for the enactment. Alan wasn’t sure about the practicalities of that. Stuart and Alan are to speak to the contact from the group about the area needed. AH & SB

Police
The letter of complaint had been sent to the police and a very apologetic reply has been received with an assurance that it won’t happen again

Thanks
Fred has sent a letter to REACT thanking them for all their help and booking them for next year. He has also written to the majorettes and St Johns Ambulance.

Clown
Mary is to confirm the clown for next year MS

Concessions
Alan and Gordon are to get together to co-ordinate the concessions for the two days to avoid any mix ups AH & GA

Picnic in the Park
Stuart is to write to the Council to thank them for their financial support and to let them know that Alan will be contacting them. SB
Alan is to organise the accounts and a proposal for next year. AH
It was decided that we would ask for the same amount as this year with a little bit extra for a ladies toilet on school hill. Gordon has looked into it and it costs around £250 - £300 for a 6 cubicle mobile toilet as long as there is a water supply and mains sewerage, which needs to be checked.

Sponsorship
It was felt that we should approach the local businesses, such as those on the business parks, to see if they would like to get involved in the community. Possibly send out a flyer to the businesses introducing ourselves and what we do. Stephen volunteered to organise the flyers at no cost to the association if someone gave him the text SS

Ann (Town Mayor) and Stephen may be visiting the local businesses in an official Council capacity. If it goes ahead Stephen could mention the Community Association as a way of getting involved
WE NEED SOMEONE TO VOLUNTEER TO TAKE ON THE TASK OF FINDING SPONSORSHIP

Bridge Magazine
It has been reported that Bridge magazines had not been delivered to certain areas such as Bascraft Way and Field Walk. If anyone else has heard of areas missed let Nina Know. Also if you have any left over Magazines let Nina know. Stuart suggested that any monies made on the magazine should go to charity. Alan suggested that we keep hold of it until the year end to cover insurance and accountants costs if required. This was AGREED

ANY OTHER BUSINESS

Tressle Tables
It was agreed that we should get another 10 as they were available and Alan was given the go ahead to organise delivery AH

November 5th
* Alan has been looking on the internet for something special for this year! It was felt that less ground based stuff should be used and mostly up in the air, so the kids can see.
* The firework budget was set at £2500
* Harry is to write to the police about Nov 5th HF
* Nicola needs to be contacted about the insurance
* It was decided to have the burger van again this year, and possibly the community association sell novelties in the old BBQ area *As there is no bar licence any more at Judith’s field Alan and Gordon will organise a licence application in Gordon’s name and we will run it ourselves. Gordon will speak to Keith Gabb about the possibility of sale or return on cans. AH & GA
* Alan is to look into any training update requirements for insurance purposes, and order the fireworks AH

Scratch cards
Alan Suter is looking into scratch cards

Skate competition
Stephen is trying to organise a skate competition for September. He is to contact Nina about a contact for Hesche NC

NEXT PICNIC IN THE PARK MEETING IS THE SEPTEMBER 2nd (A COPY OF THE MINUTES TO GO TO THE CHAIR aka STUART)
