Minutes of Meeting of 10 April 2003

Present: Stuart Bond, Shirley Brown, Chris Campbell, Nina Collier, Harry Foren, Linda Heseltine, Elwyn Hughes, Patrick Hull, Judith Kay, Phil Leveret, Charles Looker, William Morton and Alan Suter.

Apologies: Gordon Allgood, Wyn Binns, Geoff Larcombe, Alison Leggatt, Charlotte Oldwood, Stephen Spencer and Mary Stokes.

Sponsorship
SB introduced Chris Campbell of Campbell’s Estate Agents who has offered to sponsor Gala Day for the sum of £500. He also expects to find matched funding from an associated company and SB provided previous Bridge magazine and information on allocation of the sponsorship. SB said that the sponsorship should cover much of the costs incurred on Gala Day.

PH suggested that thanks to the sponsors should be offered several times on the day and during Picnic in the Park (PH).
The sponsors would need to have a stall on the gala day. Action AH to liaise with CC.

The Bridge Magazine
SB reported that of the six quotes received for printing the magazine, two were very competitive. He expected to be able to have 8 – 16 colour pages inside. He had received a number of requests for advertising space already.
CC asked about advertising rates in the magazine. He was told that there was an expected circulation of 3500 copies.
A number of articles which had been commissioned had already been submitted and SB was confident the rest would soon be completed. He commented that a survey of young people’s views about the town, carried out by SS & AH, would be contained in the magazine.

The committee were asked if they were prepared to help with distributing the magazine and all agreed.

SB asked members of the committee who didn’t want their contact details to appear in the magazine to let him know.

The judging of the children’s competition entries would take place on Weds 16th April at 8pm, 64 Crowhill.

Gala Day

Tent
NC had found a source for the purchase of a 20’ by 20’ tent on the Internet for £599 delivered.
SB suggested this was much closer to our realistic funding than £3000
Action AH to agree asap and NR to note.

Parade
HF reported that FC had a new job and therefore responsibility for the parade had devolved on to ShB. PL agreed to shadow her in that role.

Gala Princess
AS reported that arrangements were in hand. He had three judges already but more volunteers would be welcome.

Security
GA had heard that Central Security of Peterborough were prepared to provide cover from 8pm till 6am.
Action PH to check this out and make arrangements.

Picnic in the Park
NC said that a message should appear in the magazine that barbecues would not be allowed in the interests of safety.
Action Ted Malone should supply the Advert and details of bands to SB for magazine entry for 19 April

Raffle
SB reported that he was unable to apply for a lottery licence until AH had supplied him with last year’s returns.
Urgent action SB & AH

PL provided information about a ‘Win A Teddy’ competition that had a guaranteed profit if all the tickets were sold. However, it was felt that there would be sufficient raffle type competitions with the Duck Race and the scratch cards.

Action SB and AS to discuss Comrades experience of the instant win items they used.

Sealed Knot
CL reported that billeting of the members of the Sealed Knot was in hand. SB confirmed that the Arena Events would be: the Sealed Knot drill followed by the Maypole Dancing and the Kick Boxing with a re-enactment by the Sealed Knot as the finale. He would present final confirmation of these to the next meeting.
Action SB.

Bunting
It was reported that the bunting was not in a good state of repair. CL reported that the bunting for the James 1 event cost 50p per metre. PH estimated we would need 500 metres for Gala Day. AH had the high viz jackets.
Actions.
CL to price the bunting.
AH to get the rope to hang the bunting.
AH to list the jobs to be done on Gala Day as there is need to match these to a list of volunteers to assist him.

Duck Race
WM reported that all was in hand. More ducks were about to be obtained.

Bowls
LH reported that all was in hand and it was noted that Ali Leggatt wished to help.

Fun Run
NC reported that Maggie Middlemiss was hoping to organise a fun run from the Exhibition on the same day as the Bowls competition (Sunday 29th June), with a possible small Steam Up at the White Hart afterwards. It was felt that the same people would not want to take part in both events and they would not clash.

On 4th July, a Petanque competition followed by a barbecue would be organised at the Exhibition as well.
NC asked for the loan of any sets of boules for the competition.

Town Walks
ShB reported that DS hadn’t yet put the suggestion before the committee. The next meeting was planned for 29th April.
Actions
ShB to contact MS/DS and to supply relevant information to SB before the Bridge goes to print.
SB to email Sue Young for information on 19th May centenary events.

James 1 event.
CL gave a report on the progress of the event. He asked for volunteers to deliver leaflets and invited those who were able to be present on the day to attend a Stewards’ Meeting at Park Lane Community School at 7.30pm on 23rd April.

The next meeting will be held 8pm Thursday, 8th May at The Comrades Club.
